Step by step: translating your InDesign files into English
Follow these tips to save you time and get optimal results when translating your brochures and magazines.
Ensure you use consistent formatting throughout your original-language document.
Avoid embedding text inside images or graphics. Instead, use separate text frames or layers that can be edited independently.
If you are using fonts that are not widely available, make sure you include them in a separate folder along with your InDesign files. Please also include all external files, such as images or PDFs, that are used in your document in a separate folder. Make sure that all links are up to date.
Text requires different amounts of space in different languages, as ideas are expressed in different ways and word and sentence lengths can differ greatly. This can lead to layout problems if there is limited space on the page, for example. With this in mind, try to leave adequate space for expanded text when creating your original design.
What you need to send me: your InDesign project file (.indd) along with all of your fonts, images and other linked items.
I open your .indd file in Adobe InDesign on my side and create .idml and PDF exports.
The .idml file is the one I work on to translate your content into English, while the PDF is for my reference so I can view your content in context. I translate the .idml file line by line using a translation software solution called Trados Studio, which can handle .idml and many other file formats. Note that this is a fully offline solution: I do not use AI in my work, so your data is not accessed by or stored on any online servers.
Once the translation is complete, I open the translated .idml in InDesign and then create a new .indd project. Now I work in InDesign to make sure the layout of the English content matches your original layout. I pay particular attention to line breaks, the position of headings and consistent formatting.
I then create a new English-language PDF, which I use to proofread and check the English content.
You will receive translated InDesign and PDF files from me. The layout will be exactly the same, just with your new English-language content in place of your original-language content.
Your content is now ready for immediate publication and/or printing.
